Create and manage communities


Communities let you create dedicated discussion spaces where learners can interact, collaborate, and participate in conversations beyond your courses. You can organize discussions into multiple spaces, manage members, configure pricing, and publish your community for learners.


Who can access this feature?

  • Admins can create and manage all communities in the academy.

  • Trainers can create and manage only the communities they have created.



NotesNote: Professional plan academies can create up to three communities and Starter plan academies can create one community.

Create a community  

  1. Navigate to Products > Communities.

  2. Click Create Community.

  3. Enter the community details:

    • Name (required)

    • Subtitle (optional)

    • Description (optional)

    • Categories (optional)

  1. Click Create.

Your community is created and opens on the Details page.

Update community details  

You can modify your community information at any time.

  1. Open the community.

  2. Click the Edit icon.

  3. Update the required details.

  4. Click Update.

You can update the:

  • Community name

  • Subtitle

  • Description

  • Categories



Upload a community thumbnail  

A thumbnail helps learners easily identify your community in listings.

  1. Open the Details page.

  2. Click Upload Image.

  3. Select an image from your computer.

Supported formats

  • JPG

  • JPEG

  • PNG

  • GIF

Recommended minimum resolution: 400 × 300 px

Maximum file size: 2 MB


Manage community spaces
  

Spaces help organize discussions within a community. For example, you can create separate spaces for announcements, Q&A, product discussions, or learner networking.

 

Create a space  

  1. Open the Spaces tab.

  2. Click Add Space.

  3. Enter the space details.

  4. Click Create.


Explore Spaces
  

The Explore Spaces page displays all spaces that are available to join.

You can:

  • Search for spaces.

  • View member counts.

  • View space details.

  • Join available spaces.

If multiple admins or trainers create spaces, all joinable spaces will be listed under Explore Spaces.


My Spaces
  

The My Spaces page displays:

  • Spaces you created.

  • Spaces you have joined.


View space details
  

Click More Details for any space to view the:

  • Description

  • Creator details

  • Number of members

You can also join the space if it is available.

Manage space settings  

Open the required space and click Settings.


General
  

Update:

  • Space name

  • Description

  • Thumbnail image

You can also choose whether learners can discover the space through Explore Spaces.

When this option is disabled, learners cannot discover the space themselves. However, admins can still add learners manually.


Advanced
  

Configure the following options.


Lock Space
  

When enabled:

  • Learners cannot create posts

  • Learners cannot comment on posts

  • Learners can still react to existing posts

  • The space is hidden from learners in Explore Spaces


Leave Space
  

Enable this option to allow learners to leave the space whenever they want.

Members  

Manage members assigned to the space.

You can:

  • Search members

  • Add learners

  • View member roles

Add learners to a space  

Open the Members tab inside the space settings and click Add Members.

You can add learners in three ways.

Add academy learners  

Choose existing learners from your academy and click Add.

Invite learners individually  

Enter:

  • Email address

  • First name

  • Last name

Click Add.


Invite learners in bulk
  

Upload an XLSX or CSV file containing learner information.

Download the sample file to use the correct format before importing learners.


Community membership
  


When learners join a community, they automatically gain access to the default community spaces, such as
General and Announcements.

Additional spaces can be joined separately through Explore Spaces, or learners can be added manually by an admin.


NotesNote: Information about leaving a community will be added here once the behavior is finalized.

Configure community settings  

Open the Settings tab.


Community visibility
  

Enable or disable Hide community on homepage.

When enabled:

  • The community is hidden from the academy homepage.

  • Learners can still access the community using its direct link.


Configure community pricing  


Communities can be offered free of charge or as paid communities. TrainerCentral supports Free, One-time payment, Subscription, Payment Plan, and Part Payment pricing options. You can also create multiple custom one-time payment tickets and offer coupons for paid communities.

 


Configure community tickets
  

 

Community tickets determine how learners purchase access to your community.

To configure tickets:

  1. Open the community and navigate to Settings > Pricing > Tickets.

  2. Add a ticket, or click Create Custom Ticket to create an additional one-time payment ticket.

  3. Configure the ticket details and save your changes.

You can also:

  • Set a ticket as the default purchase option.

  • Show or hide a ticket on your site.

  • Activate or deactivate a ticket.

  • Copy the purchase URL to share the community directly.

  • Edit or delete a ticket from the Actions menu.



Create community coupons  


Coupons let you offer discounts on paid community tickets.

To create a coupon:

  1. Navigate to Settings > Pricing > Coupons.

  2. Click Create Coupon.

  3. Select whether the coupon applies to all tickets or specific tickets.

  4. Enter the coupon details, including the discount, redemption type, expiry date, and coupon limit, if required.

  5. Click Create.


NotesNote: Coupons are only available for all paid tickets.


Publish a community
  

Once your community is ready, open the Publish tab.

Here you can:

  • Copy the community URL

  • Configure registration dates

  • Configure availability dates

  • Reschedule publication

  • Cancel a scheduled publication

  • Share the community on social media


Delete a space
  

Open the required space and delete it from the space settings.

Note:
Deleting a space permanently removes the space and its associated discussions.

Delete a community  

A community must be unpublished before it can be deleted.

Note:
Deleting a community permanently removes the community and all its associated content.

  • Admins can manage all communities in the academy.

  • Trainers can manage only the communities they create.

  • Course Professional plan academies can create up to three communities.

  • Learners automatically gain access to the default community spaces after joining a community.

  • Additional spaces can be joined through Explore Spaces or by being added manually by an admin.

  • Multiple payment tickets can be configured for a community, with one ticket set as the default purchase option.
