Email notification settings

TrainerCentral allows you to customize all the emails sent to your trainer and your learners from your academy. Below is the list of emails sent from the product and the steps on how to edit and customize them. 

Learner email notifications  

Below are the emails sent to your learners based on various actions they perform in your academy. You can customise them to suit your style/preference and offer them a personalised e-learning experience.

 

  1. Request Access Status - An email sent to notify the learner whether their request to access a particular course has been accepted or not. 
  2. Course Completion - An email is sent to your learner whenever they complete a course.
  3. Course Enrolment - An email is sent to your learner whenever they enrol for a course.
  4. Academy Enrolment - A new learner is sent a welcome email when they enrol for your academy.
  5. Invitation for course - An email is sent to your learner whenever a trainer invites them to enrol for a course. 
  6. Invitation for academy - An email invitation is sent when inviting a learner to enrol for your academy.  


To edit an email: 


1. Click on the dropdown next to the email and select the Edit email option. 




2. Here you can choose the sender and the receiver email address and also configure the subject and body of the text. 



3. TrainerCentral allows you to configure place holders which are essentially variables which refer to a specific attribute in your academy. For example: if you configure the variable <userfirstname> - the learner's name would now be part of your email in the section where you've added it. These are the placeholders that you can use in any TrainerCentral email. 

  1. Org name - The name of your academy
  2. Org logo - The logo image of your academy
  3. Org link - The link for your academy with which people can access from around the globe. 
  4. User name - First name of the learner. 
  5. User last name - Last name of the learner. 
  6. Course name - The name of the course. 
  7. Certificate download URL - The URL which can be clicked to download the certificate for the specific course. 

 
 

Live workshop email notifications

Below are the emails sent your learners informing them about the live workshop or lesson (hosted under a course) they've registered for. You can edit these emails to suit your branding and training preferences offering personalised communication to your learners.
  1. Reminder emails to attend live lessons/workshops - Registered learners receive email reminders on upcoming live workshops and live lessons (scheduled under a course).
  2. Successful registration- An email is sent to your learner confirming their registration for the live workshop. 
  3. Pending registration- An email is sent to your learner informing them that their registration for the upcoming live workshop is yet to be confirmed. 
  4. Altered time/date (live workshop)- An email is sent to your learner notifying them when a live workshop's date/time is changed.
  5. Notification when a lesson is launched- An email is sent to your registrants when the respective live workshop is launched.
  6. Live workshop notes- An email is sent to your workshop participants with a copy of the notes they took during the live session.
  7. Share a lesson recording- The recording of a particular live workshop or a live lesson (hosted under a course) is shared via email.
  8. Live workshop thank you email- An email is sent to your learners thanking them for participating in the live workshop.
  9. Issue certificate- An email is sent to your learners sharing the workshop certificate awarding them with a sense of achievement.
  10. Cancelled session notification - An email is sent to your learners when a live workshop they've registered for has been cancelled.

  7. Session name - The name of the live workshop 
  8. Session URL - The link to participate/access your workshop. 
  9. Button name - The text for the CTA button
  10. Date/time - The date and time of the session 
  11. Timeframe - The duration of the session (minutes/hours/days) 


Assignment emails

Below are the emails sent to your learners whenever they perform any action on a given assignment. You can edit these emails to suit your branding and training preferences offering personalised communication to your learners.

1. Graded Assignment - An email is sent to your learner when their assignment has been graded.

2. Resubmission Granted - An email is sent to your learner when resubmission has been granted for their assignment.

3. Assignment submitted - An email is sent to you when a learner submits an assignment.

Invitation/Onboarding emails


Below are the emails sent to your prospects when they're being onboarded or invited to join your academy/courses/live workshops.
  1. Invitation to a course - An email is sent to your learner whenever a trainer invites them to enrol for a course.
  2. Invitation mail (Live Workshop) - An email is sent to your learners inviting them to register for a live workshop.
  3. Account confirmation - An email is sent to your learner's mail box asking them to confirm their account after which they can access the academy/courses etc.
  4. Invitation to join academy - An email is sent to your learner inviting them to join this academy.
  5. Invitation to a course in an academy (New learner) - An email is sent to your learner inviting them to join this academy and also enrol for a course.
  6. Invitation to a live workshop hosted in this academy (New learner) - An email is sent to your learner inviting them to join this academy and also register for a live workshop.
The invitation emails will be valid for 30 days from the date it's sent.

Email notification to learners (Payments)


Below are the emails sent to your learners on payment actions they perform in your academy. You can customise them to suit your style/preference and offer them a personalised e-learning experience.
  1. Subscription payment reminder (Before due date) - An email is sent to your learners reminding them about the upcoming subscription payment for a course which is due in the below specified date.
  2. Subscription payment renewal - An email is sent to your learner asking them to renew their subscription for continued access to the course. 
  3. Subscription payment reminder (After due date) - An email is sent to your learners informing them about a pending subscription payment for a course which has been overdue for the below specified number of days.
  4. Subscription payment failure - An email is sent to your learner notifying them whenever a course payment fails. 
  5. Course enrolment cancellation - An email is sent to your learner when you manually cancel their course enrolment
  6. Course taken offline - An email is sent to your learner when a course is taken offline and their subscription is put on hold. (Edited)
  7. Course taken online - An email is sent to your learner when a course they've enrolled for is republished again and their subscription is once again active 
  8. Course deleted - An email is sent to your learner when a course is they've enrolled for is deleted and their subscription is also terminated. 
  9. Subscription cancellation (by trainer) - An email is sent to your learner when you cancel their subscription
  10. Subscription cancellation (by learner) - An email is sent to your learner when they cancel their subscription
  11. Purchase cancellation (by trainer) - An email is sent to your learner when you cancel their ticket purchase
  12. Purchase cancellation (by learner) - An email is sent to your learner when they cancel their ticket purchase
  13. Learner blocked - An email is sent to your learner when they are blocked from accessing the academy/courses and all their active subscriptions are cancelled.

Emails sent to Academy Admins

 

Below are the list of emails sent to your academy admins notifying them about the activities of a learner. 

  1. Request Access - An email is sent to your academy admins whenever a learner requests access for a course.
  2. Course Completion - An email is sent to your academy admins whenever a learner completes a course.
  3. Course Enrolment - An email is sent to your academy admins whenever a learner enrols for a course.
  4. Academy Enrolment - An email is sent to your academy admins whenever a new learner enrols for your school. 
  5. A new post in the forum - An email is sent to your academy's admins whenever a new post is posted under the discussion forum of a course.
  6. A new comment in the forum - An email is sent to your academy's admins whenever a new comment is posted on a discussion forum post in a course

  7. Analytics URL - The URL of the course report. 

Compose Custom email


You can also compose a custom email to be sent to your learners by clicking on the Compose tab under the Emails section. Here you can choose to send the custom email to any learner, a filtered group of learners or to all learners enrolled in your academy.



The custom email section allows you to add placeholders like First name and Last name and also has a robust text editor to draft your email in accordance with your styling preferences.





Once the email is drafted, you can send a test email to check if everything is fine after which you can send it your audience.





Custom Email Reports

TrainerCentral offers a comprehensive report on all the custom emails that you send. You can view the list of emails sent previously, the number of receipients, the number of learners who've opened it and much more.



You can also view the detailed reports by clicking on the View Report button.



Disable an email notification 


To disable any email notification from being sent, you can uncheck the particular checkbox associated with the listed email notification. Once unchecked, this particular email will no longer be sent from your academy. In the below example screenshot, two emails have been unchecked.
