How to customize the Signup form

TrainerCentral offers you the default signup form. This signup form is used to create an account for the learners in your academy. You can customize the signup form to gather more information about your learners.
  1. Navigate to Settings in the left pane.
  2. Select the Forms tab.
  3. Click the All forms tab. The default forms, such as Signup, Contact us, and other customized forms, will be displayed.
  4. Click the edit icon at the right side of the sign up form.


Default Signup Fields

The form will have a list of default fields as specified below:
  1. First Name: The learner's first name.
  2. Last Name: The learner's last name.
  3. Email: The learner's email address. This email address will act as a signed in email address. 
  4. Password: The password for this account.

You can edit these default field labels, but you cannot delete them.




Edit Signup Fields

  1. Click edit icon at the right corner of the text box. The edit window will display.
  2. Edit the label name.
  3. Enable mandatory will be disabled for these fields, except for the Last Name field.
  4. Enable confirm password. The password field has the options to confirm the password. 
  5. Select the layout as One column or Two column as required.

If you would like to customize your signup form, you can use master fields and custom fields. 

Master Fields

Master fields are customized fields that can be utilized throughout the academy. The customized master fields will be listed on the left. You can choose the required field type from the master fields and add it to your form to collect additional information. 
  1. Click Master field at the left side of the page.
  2. Drag and drop the predefined field to your form. The field will appear in your form.




Auto Number field

The Auto Number field lets you automatically assign a unique identification number to every learner in your academy. This unique ID can be used as a roll number or reference number, helping trainers identify learners without relying on personal information such as names, email addresses, or phone numbers.
Auto Numbers are generated automatically when learners sign up and can also be generated later for existing learners who do not yet have an ID.

Use case  
For large academies with hundreds of learners enrolled across multiple courses, assigning each learner a unique roll number can simplify learner management. Instead of relying on names, email addresses, or phone numbers, you can identify learners using unique IDs, such as TC-0001, TC-0002, and so on. This makes it easier to track learner records, generate reports, and communicate learner information while helping protect learner privacy.

Before you begin  
  • The Auto Number field is available in all TrainerCentral plans.

  • Only one Auto Number field can be added to your academy's Master Form.

  • Auto Numbers are generated automatically when new learners sign up.

  • Auto Number values cannot be edited by administrators or learners after they are generated.

Add an Auto Number field
  1. Navigate to Forms and open the Master Fields tab.

  2. Click Manage Master Fields.

  3. Drag and drop the Auto Number field into your Master Form.

  4. Configure the field settings:

    • Label Name – Enter a name for the field (for example, Unique ID or Roll Number).

    • Prefix – Add a text prefix if required.

    • Starting Number – Specify the number from which the sequence should begin.

    • Suffix – Add a text suffix if required.

    • Minimum Digits – Define the minimum number of digits to display. For example, entering 4 displays values as 0001, 0002, 0003, and so on.

    • Show on learner profile – Enable this option to display the Auto Number on learner profiles.

  1. Save your changes.

The Auto Number field will now appear in your Master Form and will automatically generate unique IDs for new learners.
Configure the Auto Number format
You can customize the generated ID using the following options:

Option

Description

Prefix

Adds text before the generated number.

Starting Number

Defines the first number in the sequence.

Suffix

Adds text after the generated number.

Minimum Digits

Pads the number with leading zeros to maintain a consistent format.


For example:

  • Prefix: TC-

  • Starting Number: 1

  • Minimum Digits: 4

Generated values:

  • TC-0001

  • TC-0002

  • TC-0003

NotesNote: Auto Number values can't be edited manually. To update Auto Numbers, use the Regenerate option from the Master Form.

Generate Auto Numbers for existing learners
  

If you add an Auto Number field after learners have already joined your academy, you can generate IDs for existing records.

  1. Open the Master Form.

  2. Hover over the Auto Number field, and click the Regenerate icon.

  3. Choose one of the following options:

  • Update for all existing records  

Select this option to regenerate Auto Numbers for all learners in the academy.

Note: This action overwrites all existing Auto Number values and cannot be undone.

  • Update for missed records  

Select this option to generate Auto Numbers only for learners whose profiles do not currently have an Auto Number.

  1. Click Apply changes.

Depending on the number of learners in your academy, the update may take some time to complete.

View Auto Numbers  

Generated Auto Numbers can be viewed in the learner's profile under
Learner Information. While administrators can edit other master field values from the learner profile, Auto Number values remain read-only and can't be modified manually.

  • Only one Auto Number field can be added to the Master Form.

  • Auto Numbers are unique for each learner.

  • Auto Numbers are generated automatically during learner signup.

  • Existing learners can be assigned Auto Numbers using the regeneration option.

  • Auto Number values cannot be edited manually.

  • Regenerating Auto Numbers for all existing records permanently replaces previously generated values.

Custom Fields

In addition to the master fields, there are custom fields that you can use to receive more information from your learners. You can create a custom field by selecting the type of information, then customizing the label and input methods. 
  1. Click the custom field at the left side of the page.
  2. Drag and drop the field to your form. The field will appear in your form.


  3. The field type available in custom fields are,

    • Text area

    • Number

    • Radio

    • Drop down

    • Text field

    • Check box

    • Date

    • Decision box



Edit Fields

  1. Click the text box, the edit icon will be displayed at the right side of the text box.
  2. Select the edit icon.
The following fields as below will be listed:
  1. Editable Label name
  2. Enable Mandatory Layout

For Date, these two additional fields will be displayed: 
Enable Highlight today's date 
Editable Date format 

Delete Fields

  1. Click the text box. The edit icon and delete icon will be displayed at the right side of the text box.
  2. Select the delete icon to delete the text box. 

Advance Fields

User policy can be added to your sign up form. You can add only one user policy for one form.  Enable the User Policy at the bottom-left corner of the page. The user policy will be displayed on the form. You can edit the label name. To delete it, you can disable the checkbox.
