In TrainerCentral, you can track each learner’s purchase orders and transaction history to gain insights into purchases made within your academy. This helps you understand your academy’s overall revenue and monitor all transactions efficiently.

Sales Orders
The Sales Orders section lets you view purchases made by learners using their order ID. You can also access details such as ticket type, purchased tickets, payment status, and order details.
Access sales orders
Click the Sales tab in the primary sidebar.
The Sales Orders and Transactions tabs will appear in the secondary sidebar.
Select Sales Orders.
By default, the following details are displayed:
Order ID
Date
First Name
Last Name
Email Address
Ticket Name
Ticket Type
Amount Paid (Base Currency)
Amount Paid
Payment Status
You can also create customized columns, views, and filters to organize learner records and quickly locate the information you need.
Customize columns in sales orders
You can choose the columns to be displayed on the Sales Orders page.
Click the Settings icon next to Order ID.
Select the columns you want to display.
Apply filters in sales orders
Filters help you quickly locate learner records. You can also save frequently used filters for future use.
Click the Filter icon.
The filter window will open with the following sections:
Master Fields
Expand Master Fields to filter learner records based on personal details:
First Name
Last Name
Phone Number
Address
City
State
Country
Zip/Pincode
Ticket Purchases
Expand Ticket Purchases to filter records based on purchase details:
Payment Status
Amount Paid (Base Currency)
Amount Paid
Order ID
Date
Tickets
Expand Tickets to filter records based on:
Ticket Type
Ticket Name
Choose one of the following filter conditions:
All of These – Displays results matching all selected conditions.
Any of These – Displays results matching at least one selected condition.
Click Apply Filter to apply the selected filters and display matching records.
Click Cancel to discard the filter selection.
Create a custom view in sales orders
You can create customized views of learner records based on your preferences. Custom views allow you to save specific filters and column layouts for future use and share them with other admins.
Click the All drop-down menu.
Select Create Custom View.
The Create Custom View window will appear.
Enter a name for the custom view.
Click Add Criteria to add conditions.
Example: Payment Status is Pending.
Click Add Group to combine multiple conditions.
Example: Payment Status is Pending AND Ticket Type is Subscription.
Enable Display custom columns within Settings to choose which columns should appear in the view.
Enable Share Custom View with admins within Settings to share the view with all admins.
Click Save to save the custom view. Click Cancel if you do not want to apply the customizations.

View Sales Order details
The Sales Order inner view provides detailed information about a selected order and allows admins to manage the order without leaving the Sales Orders page.
To view sales order details:
Navigate to Sales > Sales Orders.
Select an order from the list.
The order details are displayed in the right panel, including:
Order ID – Unique identifier for the order.
Order Type – Indicates whether the order is a one-time purchase, subscription, payment plan, or another supported order type.
Product Details – Displays the purchased course, bundle, or product along with its price.
Purchased By – Email address of the learner who placed the order.
Purchased On – Date the order was created.
Status – Current status of the order.
Expiry Date – Displays the subscription or access expiration date, when applicable.
Admins can also perform order-level actions directly from the order details view:
Cancel Order – Cancel the selected order.
Pause Order – Pause active subscription, part-payment, or payment-plan orders.
View Transaction – View the transaction associated with the selected order.

Manage multiple sales orders using bulk actions
Bulk actions allow admins to perform the same action on multiple sales orders at once.
To perform a bulk action:
Navigate to Sales > Sales Orders.
Select one or more orders using the checkboxes beside each order.
Click Bulk actions.
Choose the required action.
Available bulk actions include:
Cancel Orders: Cancels all selected orders that are compatible with the cancel action.
Pause Orders: Pauses the selected subscription, part-payment, or payment-plan orders that support pausing.
Resume Orders: Resumes any selected orders that are currently paused.
Export: Downloads the selected sales orders as a CSV file.
Compatibility checks
Bulk actions are ony performed on orders that support the selected action.
For example:
Canceled orders cannot be paused.
Only paused orders can be resumed.
Pause actions are available only for supported order types.
If the selected orders are not compatible with the chosen action, an error message is displayed indicating that no compatible orders were found.
Export sales orders
Use the Export option to download sales order data in CSV format.
You can export:
Specific selected orders
Orders selected from a filtered list
Bulk action limits
There is no limit on the total number of orders that can be managed using bulk actions.
However, Sales Orders are displayed in pages of up to 40 records at a time. To perform actions on additional orders, navigate to the next page and repeat the process.
View related transaction details
The View Transaction option in the Sales Order inner view lets admins view the transaction associated with a selected sales order.
To view related transaction details:
Navigate to Sales > Sales Orders.
Select an order from the list.
Click View Transaction.
The related transaction details are displayed, including pricing, tax, coupon, payment gateway, and billing information.
Pricing details
The following pricing details are displayed:
Price – Original purchase amount.
Coupon applied – Discount applied to the purchase, if any.
Tax paid – Taxes collected as part of the transaction.
Total amount – Final amount paid after taxes and discounts.
Transaction details
The following transaction details are displayed:
Payment Gateway – The service used to process the learner’s payment.
Payment Mode – Method used for the transaction, such as credit card, debit card, or cash.
Transaction ID – The payment gateway’s transaction reference ID.
Gateway Charges – Charges incurred for processing the payment, if applicable.
Billing Address – Address associated with the learner’s payment method.
Last Four Digits of Card – Last four digits of the learner’s payment card, when available.
Coupon Code – Coupon applied to the purchase, if any.
The Transactions tab provides a complete overview of all transactions within your academy, including invoice ID, order ID, payment status, and amount paid.
Access transactions
Click the Sales tab in the primary sidebar.
The Sales Orders and Transactions tabs will appear in the secondary sidebar.

Choose one of the following filter conditions:
All of These – Displays results matching all selected conditions.

Click Apply Filter to apply the selected filters and display matching records.
Click Cancel to discard the filter selection.
Create a custom view in transactions

View transaction details
The Transaction inner view provides detailed information about a specific transaction, including payment details, invoice information, pricing breakdown, and billing information.
To view transaction details:
Navigate to Sales > Transactions.
Select a transaction from the list.
The transaction details are displayed in the right panel.
Transaction summary
The transaction summary section includes:
Invoice ID – Unique identifier for the invoice generated for the transaction.
Purchased On – Date and time when the transaction was completed.
Status – Current transaction status.
Ticket Type – Indicates the type of purchase, such as a subscription.
Expires On – Displays the expiration date of the purchased access, when applicable.
Order ID – Associated sales order ID for the transaction.
Admins can also use the following options from the transaction view:
Download Invoice – Download the invoice associated with the transaction.
Preview Invoice – View the invoice before downloading it.
Pricing details
The pricing section provides a breakdown of the transaction amount, including:
Price – Original purchase amount.
Coupon applied – Discount applied to the purchase, if any.
Tax paid – Taxes collected as part of the transaction.
Total amount – Final amount paid after taxes and discounts.

The transaction details section contains payment and billing information, including:
Payment Gateway – Gateway used to process the payment.

Learners can access the Sales section to view their own orders and transaction history. Unlike admins, learners can only view information related to their purchases and cannot perform administrative actions, such as canceling, pausing, resuming, or exporting orders.
Sales Orders
The Sales Orders page displays all orders placed by the learner, along with their current payment status and purchase details.
Access sales orders
Click Sales in the left navigation menu.
Select Sales Orders.
The Sales Orders page displays details such as:
Order ID
Date
Ticket Name
Ticket Type
Amount Paid
Payment Status
Customize columns
Learners can customize how information is displayed in the Sales Orders list.
Available options include:
Pin Column – Keeps a selected column fixed while scrolling horizontally.
Reset Column – Restores the column to its default position.
Filter sales orders
Learners can filter sales orders to quickly locate specific purchases.
Click Filters to open the filter panel.
The following filter categories are available:
Ticket Purchases
Order ID
Date
Status
Amount Paid
Tickets
Ticket Name
Ticket Type
After selecting the required criteria, click Apply Filter to display matching records.
View sales order details
To view detailed information about an order:
Navigate to Sales > Sales Orders.
Select an order from the list.
The order details panel displays:
Order ID
Ticket Type
Purchased product
Purchase date
Payment status
Access expiry date (when applicable)
For canceled orders, additional information may be displayed, including:
Cancellation time
Cancellation reason
View related transaction details
Learners can view the transaction associated with a sales order.
Open a sales order.
Click View Transaction.
The related transaction details are displayed.
Transactions
The Transactions page provides a detailed history of all payments associated with the learner’s purchases.
Access transactions
Click Sales in the left navigation menu.
Select Transactions.
The Transactions page displays information such as:
Invoice ID
Date
Amount Paid
Payment Status
Order ID
Ticket Type
Access Expiry Date
Filter transactions
Learners can use filters to locate specific transactions.
Click Filters to open the filter panel.
